Code of Conduct

The WIPC+ 2025 Conference is committed to creating a respectful, inclusive, and safe environment for all participants, including attendees, speakers, volunteers, exhibitors, organizers, and service providers. By participating in this event, you agree to uphold the principles outlined below.

Conference participants are encouraged to review their respective university's codes of conduct to ensure they are fully compliant and represent their institutions with professionalism and integrity.

 

Attendees of WIPC+2025 are expected to uphold the following practices:

Respect and Kindness

Treat all participants with respect, valuing diverse perspectives and fostering an inclusive environment. Engage in constructive discussions that focus on ideas, not individuals.

Professional Conduct

Maintain a professional demeanor at all times. Avoid language or behavior that could be considered offensive, inappropriate, or exclusionary.

Open Communication

Ensure all communication is respectful and appropriate for a professional audience, including people of varying backgrounds. Refrain from using offensive language, imagery, or jokes.

Inclusivity

Actively engage in creating a welcoming space for everyone, paying attention to power dynamics in discussions and ensuring all voices, especially those of underrepresented individuals, are heard.

Photographs and Social Media

Participants will not take photos or videos of presenters (individuals) without express permission of the presenter/conference organizers. Images of the presented scientific content may be captured via photo/video for personal professional use, unless otherwise requested by the presenter. When in doubt, ask for permission!

Compliance with Host University Codes of Conduct

Respect the policies of the conference venue and its staff. WIPC+ 2025 is hosted at Queen’s University, enabling the Harassment and Discrimination Response Policy (the scope of the "University Community" includes, without limitation, employees, students, volunteers, visiting professors, contractors, visitors, student groups, and other individuals who live, work, or study at, or provide any service to, the University) and the Student Code of Conduct (local student attendees) to serve as the primary policies for the conference.

 

Unacceptable Behaviour

Harrassment and Discrimination

Any form of harassment, including but not limited to bullying, intimidation, trolling, or unwanted attention, will not be tolerated. This includes offensive comments about someone's gender, sexuality, race, ethnicity, religion, nationality, appearance, abilities, or other personal characteristics.

Disruptive Conduct

Disruption of presentations, workshops, or other events, including physical or verbal aggression, will not be allowed.

Retaliation

Retaliating against anyone who reports unacceptable behavior is strictly prohibited.

Intimate or Inappropriate Behaviour

Any form of unwanted physical contact, sexual innuendo, or suggestive behavior is unacceptable.

 

Reporting Violations

If you witness or experience unacceptable behavior, please report it to a member of the WIPC+ Organizing Committee or directly to the Code of Conduct contact listed below. All reports will be handled confidentially and with care, mindful that organizers are obligated to report harassment and discrimination in alignment with Queen's University procedures.

 

Enforcement

Depending on the severity of the violation, actions may range from a verbal warning to removal from the conference without a refund. Participants asked to cease inappropriate behavior are expected to comply immediately. Failure to do so may result in expulsion from the event with further action taken as necessary in accordance with Queen’s University policies at the discretion of the conference organizers and appropriate university offices. Retaliation against those reporting misconduct will not be tolerated.

 


This Code of Conduct has been adapted from past Women in Physics conferences (2019; 2023). We aim to create a space where everyone can learn, network, and contribute without fear of discrimination or harassment.
