Privacy Policy

To help applicants, students, alumni, donors, employees and other constituents of the Queen’s University community understand how their personal information is collected, used and disclosed, the pages linked below provide privacy notices related to the execution of various functions at Queen's. These descriptions are not exhaustive. The university’s size, range of programs and activities, and constantly evolving methods for conducting its business result in many multi-faceted and fluid linkages and relationships in the execution of its mandate.

How Queen's Collects, Uses, Retains and Protects Your Personal Information

Personal information is collected under the authority of the Queen’s University Royal Charter, 1841, as amended, and will be used for educational, administrative, analytical and statistical purposes. Queen’s University collects only the personal information that is necessary for it to administer its programs and activities and to carry out its services and functions. The personal information is used by employees of the university who need the information to carry out their duties for the purposes for which it was collected or for a consistent purpose.

Personal information is retained only as long as is necessary for the fulfillment of the purposes for which it was collected and disposed of in accordance with the university’s authorized Records Retention Schedule. The university has in place policies, procedures and standards for the protection of the personal information it collects, with assistance and guidance from the Information Security Office.

The Freedom of Information and Protection of Privacy Act

You have certain rights in relation to the personal information we collect from you. Subject to the Freedom of Information and Protection of Privacy Act, R.S.O. 1990, c. F.31 (ontario.ca), your rights include:

  • >the right to access your personal information we have collected and processed about you 
  • the right to request the correction of your personal information if you believe an error has been made
  • the right to file a complaint with Ontario’s Information and Privacy Commissioner if you believe we are not handling your personal information appropriately

If you are a resident of another jurisdiction, that jurisdiction’s privacy legislation may give you certain rights to the extent that Queen’s University conducts activities in that jurisdiction. Activities conducted on the Queen’s University campus or anywhere in Canada will be subject to Ontario / Canadian privacy legislation, regardless of where you have residency.
