Conducting a Survey at Queen's

The University, Academic and Administrative units engage in frequent surveys of Queen's students, staff and faculty. These surveys provide the basis for strategic operations and planning, program improvement and critical information about the student experience at the University. Balancing the survey load between institutional and administrative surveys and coordinating with survey-based faculty research projects is of utmost importance to ensure stable response rates and mitigate survey fatigue.

This balance is the responsibility of Institutional Research and Planning, as detailed in the Queen's Policy on Administrative Student Surveys.

The general process for conducting a survey at Queen's takes coordination from the surveyor (you), the Queen's Research Ethics Board and Institutional Research and Planning. In order to help navigate the process we have outlined the steps for faculty research, program improvement and administrative surveys below:

Faculty Research

  1. Obtain Ethics approval from the Research Ethics Board at Queen’s.
  2. Fill out the survey inventory form to determine when to schedule your survey and avoid conflict with other surveys. You will be contacted by IRP for any follow-up.
  3. Upon ethics approval, calculate the size of your sample population required.
  4. If needed, obtain a Qualtrics account.
  5. Develop and test your survey.
  6. Three to four weeks prior to the launch date of your survey, request your invitation list from IRP using the data request form.
  7. Launch your survey.
  8. Once concluded please remove & delete any invitation lists provided by IRP from Qualtrics as well as any local copies.

Program Improvement Surveys

  1. If you plan on publishing or publicly presenting the results, please consult the Research Ethics Board at Queen’s to determine if you require approval.
  2. Fill out the survey inventory form to determine when to schedule your survey and avoid conflict with other surveys. You will be contacted by IRP for any follow-up.
  3. Calculate the size of your sample population required.
  4. If needed, obtain a Qualtrics account.
  5. Develop and test your survey.
  6. Three to four weeks prior to the launch date of your survey, request your invitation list from IRP using the data request form.
  7. Launch your survey.
  8. Once concluded please remove & delete any invitation lists provided by IRP from Qualtrics as well as any local cop

Administrative Surveys

  1. Deployment of administrative surveys is to be determined in consultation with IRP.  Please complete the survey inventory form when you wish to schedule your survey and you will be contacted by IRP.
  2. If you plan on publishing or publicly presenting the results, please consult the Research Ethics Board at Queen’s to determine if you require approval.
  3. Calculate the size of your sample population required.
  4. If needed, obtain a Qualtrics account.
  5. Develop and test your survey.

  7. Launch your survey.
