Staff, faculty to receive new email and calendar service

The university will be rolling out a new integrated mail, calendaring and task management service for staff and faculty beginning this spring. Microsoft Exchange is expected to increase productivity with its email and calendar system, and will deliver greater email storage capacity and more mobile-friendly features.

The coming changes are in response to feedback from the community. The current applications providing email and calendar services are out of date; they do not provide all the features now standard for mail, calendar and task management applications; and the vendor has no plans for developing upgrades.

“The transition to a truly collaborative suite, including email and calendaring, will result in a much better experience for staff and faculty,” says Bo Wandschneider, Chief Information Officer and Associate Vice-Principal (Information Technology Services). “Microsoft Exchange will also give us the opportunity to standardize email and calendaring across campus.”

The transition to the new service is a large undertaking, creating more than 7,000 accounts and moving them to the new system. Planning is underway to ensure a smooth transition for faculty and staff. Communications, training and support will be provided.

Last fall, ITServices conducted a pilot project of the Microsoft Exchange service with the School of Business and the Office of Advancement that involved moving the accounts of more than 1,200 users. Both departments have been extremely pleased with the outcome, noting in particular the benefits of having their calendar and mail integrated, as well as the improved interface for mobile devices.

Project information is available on the ITServices website. New information will be added over the coming weeks as details of the implementation are finalized. A project update will also be offered at the ITServices Outreach Brown Bag on March 7. Everyone is welcome.
