Configure Outlook 2010 Using IMAP To Connect To Office 365

 

Check the Server

 

Due to the number of accounts on the Office 365 there may be more than one incoming and outgoing server.  Before you configure your email client check to find out what your server names are.

 

  1. Log into the Office 365 Web App
    • Click Options
    • From the flyout menu select See All Options...

  2. The Options screen will open 
    • Click the link Settings for POP, IMAP, and SMTP access...

  3. The Server Settings screen will open 
    • The IMAP (Incoming) server is shown as well as the Port number and the Encryption method.
    • The SMTP (Outgoing) server is shown as well as the Port number and the Encryption method.
    • You will need this information when you configure your email client.  Print it out or write it down.
    • Click the Close button and log out

Configure Outlook 2010

  

  1. Click the Start button 
    • Select Control Panel

  2. The Control Panel screen will open.
    • Click the down arrow beside Control Panel
    • Select All Control Panel Items

  3. The Control Panel will now  display all item
    • Select Mail

  4. The Mail Setup - Outlook screen will open
    • Click the E-mail Accounts... button

  5. The E-mail Accounts screen will open
    • Click the New... button

  6. The Auto Account Setup screen will open
    • Auto Account Setup will not work for an IMAP connection
    • Click the radio button beside Manually configure server settings or additional server types
    • Click the Next button

  7. The Choose Service screen will open
    • Select Internet E-mail
    • Click the Next button

  8. The Internet E-mail Settings screen will open
    • In the Your Name: field enter your first and last name
    • In the E-mail Address: field enter your netid@queensu.ca email address - even if you use the your.name email alias
    • From the Account Type: drop down menu select IMAP
    • In the Incoming mail server: field enter the server name that your account is on.  See the Check Server section of this tutorial.
    • In the Outgoing mail server (SMTP): field enter the server name that your account is on.  See the Check Server section of this tutorial.
    • In the User Name: field enter your NetID
    • If you would like to have your password remembered you can check the box beside Remember password.  Not recommend for a computer used by anyone other than yourself.
    • Click the More Settings button
  9. The Internet E-mail Settings screen will open
    • The General tab will be open
    • Enter Your email address in the Reply E-mail: field.  This is the address that will be used when anyone replies to a message you sent.
    • Click the Outgoing Server tab

  10. The Outgoing Server screen will open 
    • Check the box beside My outgoing server (SMTP) requires authentication
    • Select Use the same settings as my incoming mail server
    • Click the Advanced Tab

  11. The Advanced tab screen will be open. . 
    • In the Incoming server (IMAP): field enter the port number 993
    • From the encrypted connection drop down menu select SSL
    • In the Outgoing Server (SMTP): field enter the port number 587
    • From the encrypted connection: drop down menu select TLS
    • Before you Click the OK button make sure the port numbers have not changed.
    • Click the OK button

  12. The Internet E-Mail Settings screen will re-open 
    • Click the Next button.
    • This will test your account settings.

  13. The Login screen will open
    • in the User Name: field enter your NetID email address - even if you use the your.name email alias
    • Enter your password
    • Click the OK button

  14. The Test Account Settings screen will open.
    • Your IMAP configuration will be tested to ensure you can log onto the incoming server using IMAP and send a test email message to you account.
    • Check marks will appear  beside each test
    • The Congratulations! All tests completed successfully. Click Close to continue. message will be displayed
    • Click the Close button.
    • Your Outlook client is ready to use.
