Childcare Support Plan

Important Notice for the 2020 Benefit Year

In response to the ongoing situation concerning COVID-19, please find additional information below regarding your application for the 2020 benefit year:

  • Applications will be accepted for eligible childcare expenses as outlined in the Childcare Benefit Plan for your employee group.
  • Applications may be submitted for the full year, including any lockdown period, provided you are able to provide proof of attendance and rates paid and provided it falls within the parameters of the plan
  • As in prior years, applications must be completed using the Childcare system. Applications must be submitted online by the deadline. You are not required to submit the printed attendance form to Human Resources unless your application is audited as described in the Audit Procedure. For audit purposes you must retain all supporting documentation, including the completed and signed attendance form and any original receipts, for a period of 12 months following the application deadline. The audit procedure is outlined on the home page of the online Childcare System
  • For the 2020 benefit year only: HR will accept receipts/invoices as proof of attendance and rates paid. Employees will be required to complete the “Confirmation of Attendance” however, this form will not require the care provider’s signature as long as the form is accompanied by a receipt/invoice. You are not required to submit proof unless you are selected for audit.

The Childcare Support Plan provides reimbursement for eligible daycare expenses to Queen's faculty and staff with dependent children under the age of seven (7) attending a childcare facility. In addition, specific plans provide reimbursement for eligible expenses for dependent children between the ages of seven (7) and up to the end of the month in which they turn twelve (12).

All portions of the online application process (steps 1 and 2) need to be completed and the online Confirmation of Attendance Form needs to be submitted to Human Resources by the deadline below for each group.

Note: Incomplete applications will not be accepted beyond the respective deadline.

Appeal Process

If you missed the deadline* for applying or your application was declined and you would like to make an appeal under the Childcare Benefit Plan, please complete an appeal form.

*Please note that only significant adversity will be considered when the reason for appealing is a missed deadline. Significant adversity will not include things like: "I was too busy", either with personal or work commitments; "I forgot because no reminder was sent out", etc.

Do not use the appeal form if the online application system is telling you that you are ineligible for the benefit. Please contact the HR Benefits Analyst immediately in that case.
